Tip One

When contacting a reputable event management company here are just a few of the questions you are likely to be asked.   If you know any of the answers then have them prepared. If not then don't worry.

•  What is the nature of your business?
•  Location of the event?
•  Is it is a conference, dinner dance, team building,
   hospitality day or exhibition?
•  What is the required set up for your room?
   Classroom Style, Theatre Style, Boardroom
   U Shape, Cabaret.
•  How many people and in what department?

•  If the event is a team build, corporate hospitality day or incentives
   then you will be asked:
•  What is the number of men to women ratio?
•  Do they work together in the same office?
•  What is the average age?
•  Have they done anything like this before and what was it?
•  Has a venue been chosen?
•  Will you be requiring meeting rooms or overnight accommodation (if so, how many)?

Tip Two
* When negotiating with hotels ALWAYS ask and expect a discount.

Tip Three
* Hotel chains always have a regional Sales Manager; you will have one in your region. They are given more negotiating power by the hotel chains than the actual sales staff working in the hotel you wish to book. Speak to the regional sales manager before directly contacting the hotel.

Tip Four

* When contacting any event company, Audio Visual supplier or hotel for a proposal you should never expect to be charged.

* Venue finding is a free service offered by most event companies including ours.
